Estates & Facilities Management Support Officer
IMH Recruitment are currently seeking an experienced Estates & Facilities Management Support Officer to join our client in Preston, PR4.
This is an excellent opportunity for an experienced Estates and Facilities professional to provide administrative and operational support within a busy Estates and Facilities Management department working 22.5 hours per week.
Key Responsibilities:
- Provide administrative and operational support to the Estates and Facilities Management team.
- Monitor and manage reactive maintenance requests through the CAFM system.
- Interpret maintenance requests and allocate appropriate contractors in line with agreed technical and financial parameters.
- Maintain accurate records on the CAFM system and follow maintenance requests through to completion.
- Monitor reactive maintenance volumes, trends and contractor performance.
- Collate and review engineers’ reports and ensure appropriate remedial actions are followed.
- Coordinate statutory and non-statutory testing programmes, including maintenance schedules, appointments and progress monitoring.
- Input, update and interrogate technical information within CAFM systems.
- Support the monitoring and control of estate-related utilities and services.
- Assist with site audits where required.
- Review contractors’ risk assessments and method statements.
- Provide support with service contracts, quotations, tenders and procurement processes.
- Deal professionally with telephone, electronic and face-to-face enquiries.
- Process and administer purchase orders, requisitions, delivery notes and invoices.
- Maintain accurate computerised filing and record systems.
- Provide general administrative support to ensure the smooth running of the Estates department.
- Liaise effectively with colleagues, contractors and other stakeholders, maintaining a customer-focused approach.
- Support the Estates helpdesk function as required.
- Ensure statutory, regulatory, health and safety and data protection requirements are followed.
Essential Experience & Skills:
- Experience working within a busy Estates or Facilities Management environment.
- Knowledge and experience of planned and reactive maintenance processes.
- Experience using CAFM systems or similar facilities management software.
- Experience of inputting, updating and maintaining computerised filing and record systems.
- Knowledge of property-related issues and the ability to appropriately redirect enquiries.
- Experience producing and analysing management information, including graphs, tables and statistics.
- Experience administering and approving orders, delivery notes, requisitions and invoices.
- Strong Microsoft Office skills, particularly Word, Excel, Access and PowerPoint.
- Excellent communication skills, both written and verbal.
- The ability to work effectively both independently and as part of a team.
- Strong organisational skills and attention to detail.
- A self-motivated approach with a willingness to develop within the role.
Qualifications:
- A qualification in Facilities Management or a relevant estates/technical discipline equivalent to NVQ Level 4 is desirable/required.
Hours & Pay:
- Part time: 22.5 hours per week.
- Hours and working days to be discussed at interview stage with the hiring manager.
- £13.84 per hour.
- Weekly pay via agency!

Experience:
- Estates or Facilities Management: 2 years (required)

Licence/Certification:
- NVQ Level 4 in Facilities Management or a relevant estates (preferred)
- NVQ Level 4 in Technical discipline (preferred)
- Driving Licence (preferred)
