Personal Assistant
IMH Recruitment are seeking a Personal Assistant for our client based in Preston.
The Role:
- To be responsible for all matters concerning the Managers correspondence:
- Receive all correspondence, log, sort, redistribute, redirect and reply as required,
- Assist the Managers with priority for action / reply,
- Distribute all outgoing correspondence,
- • Draft standard letters and memos as required.
- To undertake effective communication and liaison at all levels, both internal and external
- To arrange and service meetings, prepare agendas, minute meetings, distribute action sheets, maintain records and check action taken as required for the School. 5. To provide assistance to the Manager through personal organisation:
- Maintain and control diaries, and time management,
- Maintain a central note on senior staff cover within the Department,
- Record sickness absence and annual leave for staff,
- Arrange travel and accommodation if required,
- Prepare files and papers in advance as required , for meetings, committees, interviews etc,
- Assist with the completion and processing of financial documentation i.e., purchase orders, invoices, claim forms,
- Manage and prioritise email correspondence. 6. To undertake administrative support for local HR processes e.g., arranging interviews, preparing paperwork and processing contracts for staff paid by the hour. 7. To be responsible for incoming and outgoing telephone calls and the reception of visitors to the Managers office:
- To receive incoming calls, re-direct as necessary, provide information and advice where appropriate,
- To receive all visitors to the Manager’s office, provide hospitality etc.
- To maintain office filing systems including web-based and electronic, ensuring that all information is both current and accurately filed
About You:
- Experience of working in an education environment (Application/Interview).
- ‘A’ level or equivalent qualifications (Application).
- Shorthand qualification (Application).
- Audio typing skills or willingness to learn (Application/Interview).
Hours and Pay:
Monday – Friday 8:45am-5:15pm
£12.09 an hour
